Learn more about how to give someone access to Bocada Cloud as a view-only user
The Viewer role is designed for users who only need to see reports and dashboards but not make any changes. For example, a Bocada Cloud Administrator could invite a customer or manager to be a Bocada Cloud user and assign them a Viewer role. That way the Viewer user would be able to see a specific dashboard, report or set of reports online with the latest, up to date data instead of receiving a static exported report via email.
Specifically, the Viewer role can:
- View dashboards associated with the organization(s) they have access to
- View standard reports (created by Bocada) including only the data associated with the organizations they have access to
- View any custom reports that have been shared with them by another user
- Receive (or disable) the Backup Activity Summary email notification
Users are associated with organizations; therefore, an Administrator can associate a Viewer user with one or more organizations and only see the data associated with those organizations.
If multiple organizations have been set up, a user could be assigned multiple roles, specific to each organization. For example, Jane could have a Viewer role for Organization A, an Editor role for organization B, and no role for Organization C (would not have access to any data for Organization C).
Add a View-only User
- On the left navigation menu of Bocada Cloud, go to the "Administration" section
- Select "Users"
- In the top right of the page, click the + icon to add a new user
- Enter the user's email address, name and select "Standard User"
- Select the Organization they should have access to
- Click the Roles fields and select "Viewer"
- Click the save button to the right of the Roles field (floppy disk icon) to save the role for that user.
- Click the blue Save button at the bottom of the screen
- At that point, an email invitation will automatically be sent to the user asking them to click a link to validate their email address and set up a password for their account so they can login.
